Where your details came from

For college coaches

You can remove yourself with one email and one button. rosterfilm.com/coaches/opt-out — no account, no reply needed. It is permanent and applies to every family at once.

What this is

RosterFilm is used by families of high-school athletes to build one recruiting page and send it to a small number of programs. To make that possible we keep a directory of college coaching contacts: a name, a job title, and the address the department publishes for them. Where the department’s page lists them against your name, we also keep the phone number and social media handle it gives for you.

We do not sell that directory, and we do not email you on our own initiative. Every message you receive from a family here is sent from that family’s own email account, with their own address on it.

Where it came from

Publicly listed athletic department staff directories — the same page any recruit finds from your team’s site. Nothing is bought, and nothing comes from a private source.

High-school and club coaches

The same crawler also reads the staff pages of high schools and club teams, and keeps a separate list of their coaches: a name, a title, the school or club, and the address that page publishes. Where that page lists them against your name, we also keep the phone number and social media handle it gives for you. We use it to tell those coaches about RosterFilm for their own teams. It is not shared with families, and it is not sold.

The removal below covers that list too. Remove yourself once and your address is taken off both, and we will not add it back.

Your team’s roster

The same crawler also reads the roster page your athletics site publishes for your team. From it we keep each player’s name, jersey number, position, class year and whether they are redshirting, for the newest season only. When we read a newer season, every older one is deleted, names included.

We use the roster to count how many players a team carries at each position and how many of them are seniors, which helps a family judge where there may be room. Families see those counts, never a player’s name. The names stay on our own computer and are not copied to the service families use. Some first-year players on a college roster are still seventeen, and that is part of why we keep one season and show the names to nobody.

What we promise

It obeys robots.txt. A path your robots.txt disallows our crawler does not fetch, and where it disallows the directory entirely we record that and stop.

There is one exception and it is worth stating plainly. When a person who runs this directory opens one page in our admin tool and presses fetch, that single request goes out without consulting robots.txt first — and, because it never reads your robots.txt, without waiting out any Crawl-delay you set. It is one page a person chose and is looking at, arriving at the rate a person can press a button, not a list being worked. It still carries the same From: address and link to this page as every other request.

Every automated path checks robots.txt before its first request, and paces itself to your Crawl-delay. If you answer 429, it stops, records the refusal and waits out your Retry-After before asking that host again.

It identifies itself. Every request carries a From: address you can write to and an X-Crawler-Info header linking to this page, and it paces itself so it is never a load on your site. Most of them also name RosterFilmBot in the user agent. Some pages that your site sends us, but that build their content with JavaScript, are read with a headless Chromium browser. Its user agent is Chromium’s own, which says HeadlessChrome and does not name us; we do not change it. That browser checks your robots.txt as RosterFilmBot before each request it makes. The address and the link above are on those requests too, so you can always find us.

It never claims to be a person. We do not forge a user agent and we do not pretend to be a visitor. If your site refuses us or shows a bot check, we record that and stop, apart from a short wait-and-retry on a bot check. We never retry a refusal without our name. We never use a browser to get past one.

It takes what your page publishes, and no more. If your department lists a shared team inbox rather than personal addresses, that is what we store. If it names you and publishes no address, we store the name and no address. We do not guess an address from a pattern, and we do not buy one.

If something is wrong

A wrong name, an address that belongs to somebody who left, a coach filed under the wrong sport — tell us and we will correct it. Families can also report a bad contact from inside the product, and those reports are reviewed by a person rather than acted on automatically.

Removing yourself

rosterfilm.com/coaches/opt-out. One email, one button, no account. The removal is permanent, it applies to every family at once rather than one at a time, and it survives every later update — we will not re-add you. We keep your address and name, marked as removed, only so we never add you back.

If you would rather recruits reached you through your program’s questionnaire, tell us and we will list that instead of an address.
